The Program Coordinator, an entry-level position, will be responsible for the operational management and delivery of assigned programs, ensuring an outstanding student experience and smooth execution at every stage. This role requires strong multitasking abilities, attention to detail, teamwork, and strong time-management skills to ensure smooth execution during key program moments, with a clear focus on program delivery and participant support.

We are looking for a person to join a full-time position in Madrid - María de Molina.

Responsibilities:

Your role as Coordinator will involve:

The position entails a combination of operational coordination, administrative execution, and student support. Main responsibilities include:

  • Coordinate the end-to-end operational execution of several programs running simultaneously and at different stages of delivery.
  • Manage schedules, logistics, materials, classroom setup (on-site or virtual), and documentation.
  • Ensure all administrative processes are completed accurately and on time.
  • Serve as the main point of contact for participants before, during, and after the program, in close coordination with the Program Director.
  • Support onboarding processes and ensure students are properly informed and prepared.
  • Coordinate with faculty to ensure session readiness and smooth execution.
  • Ensure on-site or virtual presence and operational oversight during key program moments such as delivery days, kick-offs, and graduation ceremonies.
  • Collaborate with internal teams (academic, operations, IT, etc.) to ensure proper alignment and execution.
  • Proactively identify potential issues and implement solutions.

Qualifications:

To thrive in this role, you should possess the following qualifications:

Experience in program coordination, academic operations, or similar roles is a plus.
  • Up to 2 years of professional experience.
  • Organizational skills and attention to detail.
  • Quick ability to learn and adapt.
  • Proactive and solution-oriented mindset.
  • Strong teamwork orientation and collaborative attitude.
  • Comfortable working in a dynamic environment.
  • Enjoys interacting with students and faculty, while understanding the importance of administrative rigor.
  • Strong written and verbal communication skills.
  • English proficiency is mandatory.
  • Proficiency in Microsoft Office; experience with LMS or academic systems is a plus.
  • Position requires flextime or additional evening or weekend work eventually
